This Privacy Policy explains how Cymos.ai (“Cymos,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you use our website, application, AI networking CRM, email and calendar integrations, and related services.
Cymos is designed to help users manage professional relationships, draft outreach, track replies, schedule follow-ups, and organize career or finance-recruiting networking activity.
Information We Collect
- Account information, such as your name, email address, login information, billing status, and account preferences.
- Profile and career information, such as school, employer, target roles, target firms, resume content, skills, goals, and biography information you provide.
- CRM and networking information, such as contacts, contact emails, companies, roles, notes, pipeline stages, reminders, outreach history, and follow-up tasks.
- Email and calendar information from connected providers when you authorize access, including connected account email address, message/thread metadata, reply information, and calendar event information needed to provide Cymos features.
- Payment and subscription metadata from payment processors, such as customer ID, subscription status, plan, invoice status, and payment status. We do not store full payment card numbers.
- Usage, device, and diagnostic information, such as IP address, browser type, pages visited, feature usage, logs, error reports, and security signals.
How We Use Information
- Provide, operate, secure, and improve Cymos.
- Create and manage user accounts.
- Manage contacts, pipelines, reminders, follow-ups, and relationship history.
- Generate AI-assisted drafts, summaries, classifications, and suggestions.
- Send emails that users create, approve, or schedule through Cymos.
- Detect replies to Cymos-managed outreach and update relationship pipeline state.
- Create calendar events requested by users.
- Process subscriptions and billing.
- Provide support, prevent abuse, troubleshoot issues, and comply with legal obligations.
Google User Data
If you connect your Google account, Cymos may access Google user data only with your authorization and only to provide user-facing product features.
Cymos’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
- Cymos may use Gmail send permission to send outreach or follow-up emails that you create, approve, or schedule through Cymos.
- Cymos may use Gmail read permission to detect replies to Cymos-managed outreach threads, update your pipeline, and suggest next steps.
- Cymos may use Google Calendar event permission to create or manage calendar events requested through Cymos scheduling features.
- Cymos does not sell Google user data.
- Cymos does not use Google user data for advertising.
- Cymos does not transfer Google user data to advertising platforms, data brokers, or information resellers.
- Cymos does not use Google user data to determine creditworthiness, lending eligibility, housing eligibility, insurance eligibility, or other regulated eligibility decisions.
- Cymos does not allow humans to read Google user data except where necessary for security, legal compliance, or support with your affirmative consent.
AI Processing
Cymos uses AI providers and infrastructure to generate drafts, summaries, classifications, suggestions, and related product outputs. Information you submit to AI-powered features may be processed by those providers to return the requested output.
Where Google user data is processed by AI systems, it is used only to provide or improve user-facing Cymos features requested by the user, such as drafting replies, summarizing relationship context, detecting replies, or suggesting follow-up actions. You should review AI-generated content before sending or relying on it.
How We Share Information
- With service providers that help us operate Cymos, such as hosting, database, authentication, AI processing, payment processing, email delivery, monitoring, security, and customer support providers.
- With third-party integrations you choose to connect, such as Google or Microsoft, as needed to provide the integration.
- For legal and safety reasons, including to comply with law, respond to lawful requests, protect rights and security, investigate abuse, or enforce our Terms.
- In connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to applicable law and user notice or consent where required.
Data Retention and Deletion
We retain information for as long as reasonably necessary to provide Cymos, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and operate backups.
When you delete your account, we will delete or de-identify user-owned account data within a reasonable period unless retention is required for legal, security, billing, backup, or compliance reasons. Some data may remain temporarily in backups.
Your Choices and Rights
- You may update profile information in the app.
- You may disconnect Google, Microsoft, or other integrations from settings.
- You may revoke Google access from your Google Account permissions page at https://myaccount.google.com/permissions.
- You may request access, correction, export, or deletion of personal information by contacting us.
- Depending on your location, you may have additional rights to object to, restrict, or opt out of certain processing.
Security
We use reasonable technical and organizational safeguards designed to protect information, including encryption in transit, access controls, and protection of sensitive tokens where appropriate. No system is perfectly secure, and we cannot guarantee absolute security.
Children
Cymos is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us and we will take appropriate action.
International Users
Cymos and our service providers may process information in the United States, Canada, or other countries. By using Cymos, you understand that your information may be processed outside your country of residence.
California Privacy Notice
If you are a California resident, you may have rights under the California Consumer Privacy Act, as amended. Cymos does not sell personal information and does not knowingly sell or share personal information of users under 16.
California residents may contact us to request access, correction, deletion, or information about personal information practices.
Changes to This Policy
We may update this Privacy Policy from time to time. If changes are material, we will provide notice as required by law. Continued use of Cymos after an updated Privacy Policy becomes effective means you acknowledge the updated policy.
